Everything you need to know about managing your Task Ember portal as an administrator.
Every member of your portal has one role:
| Role | Permissions |
|---|---|
| Owner | Full control: branding, domains, billing, users and other owners |
| Admin | Manages users, resources, workspaces and webhooks. Cannot change billing, branding or other owners |
| Viewer | Everything a member can do, plus a read-only view of the Users page and audit log |
| Billing | Everything a member can do, plus the portal plan, invoices and payment methods |
| Client admin | Runs one of your clients: sees and manages that client's people, opens that client's workspaces and invites colleagues into them. Nothing portal-wide |
| Member | Uses the workspaces, files and webhooks they are invited to |
| Task Ember Admin | Platform-level admin with access across all portals |
A portal can have more than one owner. Owners appoint other owners; admins can hand out every role except Owner. The owner whose subscription funds the portal always stays an owner, and a portal always keeps at least one.
Clients are the companies you serve. Set them up under Users > Clients, then assign people to a client from their row and workspaces to a client from the workspace's edit dialog. A person belongs to one client per portal; your own staff belong to none.
Make one of a client's people a Client admin and they get a Users page showing only their own colleagues, where they can invite new members into the client and remove them. They can open every workspace assigned to their client and invite their colleagues into it, and anyone they bring in joins the same client. They never see your other clients, cannot create workspaces, and cannot change anyone's role.
You keep full reach. Owners and admins can open and manage every workspace on the portal whether or not they are on its member list, so a client can never lock you out of a workspace you run for them. A client cannot be deleted while people or workspaces are still assigned to it.
Removing a user revokes their access to your portal. They will be removed from all workspaces and their resources will be reassigned or deleted.
Workspaces hold resources, components, members, and permissions. Create one blank or from a template, then shape it with components and resources as you go.
Components are the functional blocks placed inside a workspace, such as tables, charts, activity logs, and Remote PowerShell.
Resources of any product can be attached to any workspace.
Workspace members have their own role hierarchy:
Only portal admins and owners add people to the portal. A workspace admin who invites someone outside the portal is told to ask an admin first, because that person could not sign in to accept.
Owners can change this under Settings > Members. With "Workspace admins can invite people to this portal" on, anyone a workspace admin invites to their workspace joins the portal as a Member at the same time. Use it when a client's own IT manager runs their workspace and should onboard their colleagues without going through you. Every admission is written to the audit log.
Member Bundles let you save a set of users with predefined roles. Apply a bundle to quickly add multiple users to workspaces, webhooks, or wiki spaces.
Task Ember offers Spark and Pro plans with monthly or annual billing. Annual plans include a discount.
New accounts can try Spark free for one month, with no card needed. Start it from the Your Plan page, where you also choose your portal's name. There is one trial per account.
Marketplace products bill per connected resource, drawn from your account balance monthly. You can top up your balance from the header. Volume discounts are available:
Navigate to your Profile page to view billing history. Click the Export button to download your billing records as an Excel spreadsheet.
Every plan can customise its portal appearance. Pro also removes Task Ember branding from the portal and its emails:
Navigate to Settings and select Appearance to configure branding.
